Current platform

Built around the work the association does every day.

CommunityHub focuses on financial clarity, controlled access, reliable records, and easier homeowner support. Every feature below is part of the current Westheimer Estates build.

01

Homeowner account

See what is due, what was posted, and what happened next.

Each authorized owner can review the property assessment, current balance, payment history, pending reports, receipts, and annual statement without asking the board to rebuild the record.

02

Payment guidance

Board-approved Zelle instructions.

Homeowners see the approved recipient, amount due, and property memo. The transfer still happens through the homeowner's own bank.

No checkout. No bank login. No stored credentials.
03

Verification workflow

Reports do not become payments by assumption.

The treasurer reviews each report against HOA-controlled bank activity, checks possible duplicates, and then verifies, rejects, or posts it.

04

Association accounting

A ledger the board can reconcile.

Assessments, opening balances, posted payments, credits, and reversals use property-level records and double-entry journal controls.

  • Paid, partial, and unpaid totals
  • Duplicate-reference protection
  • Protected spreadsheet exports
05

Receipts and statements

Private documents generated from posted records.

Sequential PDF receipts are issued only after posting. Annual statements are available for every property, including accounts with no payments.

06

HOA Assistant

Answers grounded in approved community sources.

Residents can ask questions against reviewed governing documents and current community information, inspect citations, and send unresolved questions to the HOA.

Payment workflow

Clear separation between sending money and recording it.

CommunityHub is designed around a careful control: a homeowner's report is not treated as proof that the HOA received funds.

Important

CommunityHub does not initiate, receive, or automatically confirm a Zelle transfer. The property balance changes only after treasurer verification and posting.

  1. 1

    Review instructions

The homeowner confirms the board-approved recipient, amount due, and property memo in CommunityHub.

  2. 2

    Send through the bank

The homeowner completes the transfer using their own bank's Zelle service.

  3. 3

    Report the payment

The amount, sent date, and optional reference enter the treasurer's review queue.

  4. 4

    Verify and post

The treasurer matches bank activity, posts the payment, updates the balance, and issues a receipt.

Role-based workspaces

The right tools for each person, without exposing everyone else's information.

Homeowner workspace

A complete view of the property account.

Homeowners see only properties they are authorized to access, along with approved community information.

  • Account balance and annual assessment
  • Approved Zelle instructions
  • Payment reporting and status history
  • Private receipts and annual statements
  • Source-cited HOA Assistant
  • Current community announcements

Westheimer Estates implementation

More than a portal. A controlled operating record for the association.

The current build brings the association's property registry, assessments, payment workflow, homeowner identities, receipts, annual statements, community knowledge, and launch checks into one system.

Designed for trust

Financial clarity needs strong boundaries.

01

Property-scoped privacy

Homeowners can access only the properties connected to their verified identity.

02

Role-based authority

Administrative, board, treasurer, and homeowner actions are separated by server-enforced permissions.

03

Two-person controls

Payment destination changes require a second authorized person before publication.

04

Preserved history

Posted payments are reversed with reasons rather than edited or silently removed.
